About the position

The Payroll Specialist serves as a vital member of the Trinity Health Payroll Shared Services team, responsible for supporting and executing day-to-day payroll activities for assigned ministries or service lines. This role requires close collaboration with Payroll Coordinators and Operations Managers to ensure accuracy in all aspects of employee payroll processing, timekeeping, and employee information management. The Payroll Specialist is expected to embody and demonstrate the Trinity Health Mission, Vision, and Values in their behaviors, practices, and decisions, ensuring adherence to processes and procedures as outlined by Payroll Leadership in compliance with federal and state regulatory requirements as well as Trinity Health policies. In this position, the Payroll Specialist will support the centralized management of the payroll tax function by completing payroll tax reports and conducting audits to ensure that data is balanced appropriately. A thorough understanding of federal and state wage and hour laws is essential, as is the ability to assist with quarter-end and year-end payroll activities, including W-2 and W-2c processing to ensure compliance and accuracy. The role involves running Kronos/Dimensions timekeeping reports and Workday Payroll reports for pay period audits, acting as a backup to the Payroll Coordinator for balancing timekeeping file information, and preparing EIBs for biweekly processing. Additionally, the Payroll Specialist will process employee expense reimbursement forms, maintain confidentiality of payroll and human resources information, and assist with special projects related to system enhancements and quality improvements. The position also requires monitoring the payroll team email inbox and ticket queue for employee inquiries, processing employee time correction forms, and assisting with the analysis and correction of tax withholding and payment issues. The Payroll Specialist will handle child support, creditor garnishments, and tax levies, preparing EIBs for supplemental payments and payment corrections to be loaded by the Payroll Coordinator or Manager for payroll processing. The role may involve other duties as assigned, and it is crucial for the Payroll Specialist to maintain a working knowledge of applicable federal, state, and local laws and regulations, as well as the Trinity Health Integrity and Compliance Program and Code of Conduct, to ensure adherence in a manner that reflects honest, ethical, and professional behavior.

Responsibilities

Requirements

  • Associates degree in accounting or human resources, or 1-3 years of equivalent payroll experience.
  • Experience in a multi-entity and multi-state organization handling payroll processes.
  • Knowledge of payroll tax and state reciprocity rules, garnishments, and regulatory compliance including FLSA.
  • Familiarity with internal controls related to payroll functions.
  • Ability to work well in a team environment and communicate effectively with all levels of the organization.
  • Strong analytical skills for data collection, summarization, analysis, and evaluation.
  • Detail-oriented with the ability to meet established deadlines and follow through on tasks.
  • Strong personal computer skills, particularly in Excel.
  • Experience with Workday, Kronos/Dimensions timekeeping, and ADP tax services is preferred.
  • Demonstrated understanding of accounting principles.
  • High degree of professionalism and customer focus, maintaining confidentiality.
