About the position

The Manager, PDT R D BU Operations at Takeda Pharmaceuticals plays a crucial role in supporting the business unit by managing and reporting on strategic initiatives and activities that are essential for the efficient operations of the business unit. This position involves overseeing various contracting activities, providing operational support for key opinion leader (KOL) engagements, managing budget and financial support, and ensuring compliance with transparency reporting requirements. The manager will act as the primary liaison between the business unit and other departments such as Legal, Procurement, Ethics and Compliance, and Finance, ensuring that all contractual processes are handled efficiently and in accordance with local procedures and policies. In terms of contracting activities, the manager will be responsible for managing the contracts process for PDT R D, which includes processing, tracking, and archiving contracts. They will serve as the subject matter expert on relevant contracting systems and will independently resolve complex contractual issues while ensuring timely processing of contracts. Additionally, the manager will provide operational support for consulting agreements, scientific meetings, advisory boards, and trial committees, ensuring that all compliance requirements are met prior to contracting. The role also involves budget management and financial support, where the manager will support integrated business unit planning activities by monitoring program-specific purchase orders and collaborating with project managers to align expenditures with designated budgets. They will conduct monthly reviews of accruals with business owners and work closely with the PDT Finance team to create financial reports and maintain purchase orders. Furthermore, the manager will handle donations, sponsorships, and grants by processing requests in the transparency reporting system and coordinating with legal and business owners to draft, negotiate, and execute agreements. They will also manage the PDT R D SharePoint site, ensuring it is current and relevant, and provide administrative support to various governance committees, including scheduling meetings and recording minutes. Overall, this position requires a proactive approach, strong communication skills, and the ability to work effectively in a diverse and complex environment.

Responsibilities

  • Manage the contracts process for PDT R D, including processing, tracking, and archiving contracts.
  • Serve as the primary contractual liaison between the business unit and other departments such as Legal, Procurement, Ethics and Compliance, and Finance.
  • Act as the subject matter expert on all relevant contracting systems and independently resolve complex contractual issues.
  • Provide operational support for Consulting Agreements, Scientific Meetings, Advisory Boards, and Trial Committees.
  • Process requests in the transparency reporting system and work with various stakeholders to gather necessary documents for processing requests.
  • Ensure compliance with global SOPs and guidance documents prior to contracting.
  • Manage transparency reconciliation activities in accordance with government requirements.
  • Support integrated business unit planning activities by monitoring program-specific purchase orders and collaborating with project managers.
  • Conduct monthly reviews of accruals with business owners and collaborate with Finance to make necessary updates.
  • Act as the subject matter expert for diverse Procurement systems and assist stakeholders in resolving invoice inquiries.
  • Process requests for donations, sponsorships, and grants, coordinating with Finance and Ethics and Compliance for approvals.
  • Manage the PDT R D SharePoint site, ensuring it is current and relevant, and oversee site permissions and structure.
  • Provide meeting support to governance committees, including scheduling, monitoring attendance, and recording meeting minutes.
  • Monitor training compliance for PDT R D teams and prepare monthly reports for executive leadership.

Requirements

  • Bachelor Degree in Business or Legal related field.
  • 5-8 years of experience in a business operations leading role within complex pharmaceutical projects in a multi-disciplinary, global environment.
  • Experience in R D, commercial, business, and/or corporate development/consulting.
  • Experience in the pharmaceutical or biotech industry with a focus on external innovation.
  • Understanding of drug development and/or medical devices.
  • Familiarity with pipeline assets of Takeda and other relevant pharma or biotech.
