About the position

The People and Business Operations Specialist at Owl Labs plays a vital role in ensuring the smooth operation of the office and enhancing employee experiences. This position involves coordinating HR initiatives, managing onboarding and offboarding processes, facilitating benefits administration, and supporting employee engagement activities. The specialist will also handle office management tasks and serve as a liaison between employees and payroll consultants.

Responsibilities

  • Run the onboarding life cycle experience, including pre-hiring communication, orientation, and one-month check-in.
  • Coordinate with managers and IT to ensure a smooth offboarding process.
  • Facilitate benefits administration, including open enrollment, employee questions, monthly invoice intake, and communication with external brokers.
  • Assist hiring managers in sourcing and scheduling candidates.
  • Administer the annual employee engagement survey and work with teams to identify issues.
  • Provide system (HRIS) support during the annual review process.
  • Assist with the coordination and scheduling of internal and external employee experience activities, such as lunch and learns, meetings (onsite and offsite), and DEIB opportunities.
  • Manage relationships with office vendors and service providers.
  • Identify and fulfill inventory for all office and kitchen supplies.
  • Maintain office appearance of common areas, organizing procedures, handling correspondence, and overseeing office supplies and equipment.
  • Retrieve and distribute incoming mail to appropriate teams and locations.
  • Assist with executing ad-hoc and special projects.
  • Serve as the liaison between employees and payroll consultants across multiple states.

Requirements

  • 2+ years of professional experience in operations and benefits management.
  • Direct experience with people & culture processes and the employee life cycle.
  • Strong organizational skills with excellent attention to detail.
  • Experience with benefits administration, including open enrollment processes and COBRA compliance.
  • Impeccable communication skills.
  • Ability to work independently and collaboratively.
  • Problem-solving skills to identify recommendations for increased efficiency.
  • Proficiency in G-Suite and other relevant software, including payroll and HR Systems.
  • Project management skills.
  • Ability to handle confidential information appropriately.
