About the position

As the People and Office Operations Manager, you will ensure that our people processes and office operations run efficiently, compliantly, and with excellence. Reporting to the COO, you'll play a critical role in supporting our small hybrid team by managing daily operations, improving systems, and fostering a positive employee experience. You will balance the need for structure and compliance with opportunities to innovate, ensuring we maintain fairness, equity, and high standards. This role is perfect for someone who thrives on taking ownership, staying organized, and working collaboratively. You'll help turn high-level strategies into action while building systems and workflows that drive impact.

Responsibilities

  • Work closely with the COO to turn people and office operations strategies into clear workflows and processes.
  • Balance established systems with opportunities for innovation and improvement.
  • Build, document, and refine systems that ensure compliance, equity, and operational efficiency.
  • Manage onboarding and offboarding, ensuring a seamless and compliant experience for employees.
  • Maintain accurate employee records in systems like ADP Workforce Now, leveraging automation where possible.
  • Collaborate with payroll to ensure employees are paid accurately and on time.
  • Regularly audit processes to ensure legal and organizational compliance.
  • Uphold confidentiality and consistency to promote fairness and equity.
  • Oversee daily office operations, ensuring spaces are clean, organized, and functional.
  • Act as the first point of contact for IT troubleshooting, escalating issues to IT contractors as needed.
  • Partner with IT contractors to resolve technical issues and follow up to ensure high-quality outcomes.
  • Surface facilities concerns to the Property Manager or COO promptly.
  • Co-facilitate our Build Community Committee to organize team-building activities and events aligned with our core values.
  • Develop systems to solicit and act on staff feedback to enhance employee experience.
  • Plan and execute initiatives that foster an inclusive and engaging workplace culture.
  • Maintain detailed daily, weekly, and monthly checklists to track progress on key tasks and deadlines.
  • Develop workflows that enhance efficiency and ensure compliance.
  • Anticipate challenges and propose thoughtful solutions to improve operations.
  • Manage relationships with external vendors, including hiring and IT contractors.
  • Track next steps and maintain clear notes during interactions with contractors and stakeholders.
  • Follow up consistently to ensure tasks and deliverables are completed to a high standard.
  • Provide administrative support to the COO as needed.

Requirements

  • At least 3 years of relevant experience in operations, HR/people operations, or office management.
  • Experience managing employee systems (e.g., ADP Workforce Now) and onboarding/offboarding processes.
  • Strong organizational and project management skills, with the ability to prioritize tasks and maintain detailed workflows.
  • Familiarity with Microsoft Office Suite and SharePoint, with the ability to troubleshoot basic IT issues.
  • Excellent written and verbal communication skills, with the ability to collaborate effectively across teams.
  • Commitment to maintaining compliance and equity in all processes.
  • Proactive mindset with a passion for learning and improving.
  • High attention to detail and a focus on delivering high-quality work.

  • Pay: $37.25-$50.52 per hour (equivalent to $77,682-$105,099 annually), depending on experience.
