About the position

The People and Office Operations Manager at Making Waves Education Foundation is responsible for ensuring efficient and compliant people processes and office operations. This role supports a small hybrid team by managing daily operations, improving systems, and fostering a positive employee experience. The manager will balance structure and compliance with opportunities for innovation, ensuring fairness and high standards while turning strategies into actionable workflows.

Responsibilities

  • Work closely with the COO to implement people and office operations strategies into clear workflows and processes.
  • Manage onboarding and offboarding processes to ensure a seamless experience for employees.
  • Maintain accurate employee records in systems like ADP Workforce Now, leveraging automation where possible.
  • Oversee daily office operations, ensuring spaces are clean, organized, and functional.
  • Act as the first point of contact for IT troubleshooting and partner with IT contractors to resolve technical issues.
  • Co-facilitate the Build Community Committee to organize team-building activities and events.
  • Develop systems to solicit and act on staff feedback to enhance employee experience.
  • Maintain detailed daily, weekly, and monthly checklists to track progress on key tasks and deadlines.
  • Manage relationships with external vendors, including hiring and IT contractors, to align with organizational needs and budgets.

Requirements

  • At least 3 years of relevant experience in operations, HR/people operations, or office management.
  • Experience managing employee systems (e.g., ADP Workforce Now) and onboarding/offboarding processes.
  • Strong organizational and project management skills, with the ability to prioritize tasks and maintain detailed workflows.
  • Familiarity with Microsoft Office Suite and SharePoint, with the ability to troubleshoot basic IT issues.
  • Excellent written and verbal communication skills, with the ability to collaborate effectively across teams.
  • Commitment to maintaining compliance and equity in all processes.
