About the position

The People Operations and Office Coordinator at Thought Machine plays a crucial role in supporting the delivery of exceptional people experiences for employees in the US and globally. This full-time position is based in New York City and involves managing core HR processes, ensuring data integrity, and providing operational support for the office. The role is integral to maintaining a positive workplace culture and facilitating smooth HR operations throughout the employee journey.

Responsibilities

  • Support the delivery of core HR processes by liaising with stakeholders and collating and summarising data.
  • Ensure HR systems are kept up-to-date, supporting onboarding processes and position management.
  • Assist with the delivery of People Operations and People Experience projects.
  • Provide high-quality internal customer service to employees.
  • Manage employment verification, unemployment, and other governmental agency requests.
  • Support Benefits and Compensation administration as needed, coordinating with Payroll to ensure seamless data flow.
  • Oversee the People Operations service desk, responding to queries, identifying trends, and proactively building a backlog for process and documentation improvements.
  • Take ownership of data quality and integrity, maintaining high accuracy when performing all activities and ensuring an accurate record of all relevant documents and decisions.
  • Handle sensitive and confidential information with absolute discretion.
  • Ensure the smooth running of the New York office, providing operational support for a seamless employee experience.
  • Manage external vendors and ensure sufficient stock supplies.
  • Oversee all office porterage, including managing office moves, furniture moves, deliveries, and collections.
  • Coordinate security passes, room bookings, and the client/visitor experience.

Requirements

  • BA/BS degree in a human resources-related field preferred or equivalent education and experience.
  • Proven ability to work both independently and as part of a team to support priorities and collaboration.
  • Ability to multitask and prioritize to meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to adapt to a fast-paced environment and changing requirements.
  • Strong customer service orientation and ability to establish collaborative working relationships.
  • High attention to detail, strong organizational and analytical skills, with the ability to manage confidential data and materials.
  • Working knowledge of Workday HRIS system (or other HRIS systems with transferable skills).
  • Knowledge or experience with the principles and practices of human resources is preferred.
  • Minimum 2 years of People Operations experience.
