About the position

The People Operations Associate at Magic Spoon is responsible for managing office operations and supporting People Operations coordination, particularly in Talent Acquisition and onboarding processes. This role requires a proactive, detail-oriented individual who can maintain a positive workplace culture while ensuring the smooth operation of the office environment. The position is hybrid, requiring in-office presence three days a week, and offers the potential for transition to a full-time salaried role after three months.

Responsibilities

  • Maintain a clean and organized office environment, including stocking the kitchen and tidying communal spaces.
  • Manage all office operational needs, including weekly catering and inventory ordering.
  • Manage reception and guest experience in the office, including key card and guest access management.
  • Act as the day-to-day point person with property/building management and subcontractors.
  • Support People Operations Manager with onboarding and offboarding processes.
  • Oversee office shipping accounts and manage mail and deliveries.
  • Support coordination of large company and executive board meetings, including catering and technology support.
  • Occasionally assist co-CEOs with business travel and accommodation bookings.
  • Collaborate on the management of the office expense budget and report monthly to management.
  • Proactively update and evolve systems and protocols for efficiency.
  • Book interviews and coordinate candidate experience during the hiring process.
  • Help manage candidate-related bookings and expenses for out-of-state candidates.
  • Work with hiring managers on job description creation and interview guide development.
  • Keep ATS and recruitment trackers updated according to interview processes.
  • Source candidates and create outreach communications.
  • Conduct employee experience research, including salary and benefits analysis.
  • Support organization and execution of team events.

Requirements

  • 0-2 years of professional experience in People/HR, Office Management, Talent Acquisition, or a relevant field, preferably in a startup or small to medium-sized company.
  • Experience working in an in-person office environment.
  • Proficiency in Google Suite and Microsoft Office Suite, including Excel and Google Sheets.
  • Ability to thrive in a fast-paced, delivery-driven environment.
  • Strong communication, problem-solving, and interpersonal skills.
  • Detail-oriented with the ability to think ahead and prioritize tasks.
  • Autonomous and driven self-starter with excellent time management skills.
  • Passion for supporting the smooth running of an office environment and a love for food and drink.

Nice-to-haves

  • Experience in the food, CPG, or restaurant industry.
  • Ability to lift up to 25 lbs infrequently.
