We are seeking an enthusiastic and detail-oriented People Operations Coordinator to join our team. This role will provide essential support in various people operations tasks, policy and procedure (P&P) maintenance, contract tracking, assisting with meeting agendas preparation, in-person coordination, and general administrative duties. The ideal candidate will uphold confidentiality while assisting with payroll processing, onboarding new employees, performing audits, tracking employee training, and providing backup support as needed. Additionally, this role will assist with email communications to the team, including reminders, announcements, and coordination of information, and will support the email communication needs of the senior leadership team. This position will report directly to the Head of People and Culture.

Responsibilities

  • Assist with virtual people operations administrative tasks, including data entry, digital filing, and maintaining employee records.
  • Support people operations projects and initiatives under the leadership of the Head of People and Culture.
  • Help maintain and update P&P documents, ensuring accessibility and compliance across the organization.
  • Assist in communicating policy changes and ensuring understanding among employees.
  • Track contracts and agreements, updating records and ensuring deadlines are met.
  • Provide general administrative support to ensure smooth virtual operations.
  • Assist with preparing meeting agendas, taking minutes, and coordinating logistics for meetings and events as needed.
  • Assist with scheduling meetings, appointments, interviews, and training sessions.
  • Assist in obtaining and compiling information required for credentialing purposes, including gathering necessary documents from employees and conducting monthly exclusion checks.
  • Assist with email communications to the team, including reminders, announcements, and coordination of information.
  • Support the email communication needs for the senior leadership team by drafting, reviewing, and sending emails on their behalf.
  • Help ensure timely dissemination of important communications and follow-ups for both the general team and senior leadership.
  • Coordinate and consolidate information for reports, updates, and presentations required by senior leadership.
  • Serve as backup support for billing, document management, and data extraction tasks.
  • Assist in payroll processing and address various employee inquiries related to generic people operations information.
  • Support the onboarding process for new hires, including paperwork preparation and orientation assistance.
  • Help integrate new employees into the company culture and assist with training logistics.
  • Assist with tracking IT equipment issued to employees, ensuring all devices are accounted for and properly maintained.
  • Provide basic navigation for technical support and troubleshooting to the team as needed.
  • Access and manage highly confidential and sensitive information, maintaining strict confidentiality at all times.

Requirements

  • High school diploma required.
  • Associate's degree in Human Resources, Business Administration, or related field preferred.
  • At least one year of office experience, including strong professional communication skills, both verbal and written.
  • Experience in healthcare is highly preferred.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Proficiency in productivity tools such as Google Suite and Microsoft Office Suite.
  • Capacity to maintain and manage confidential information with discretion and a high degree of professionalism.
  • Basic understanding of tech support, including troubleshooting common IT issues.
  • Ability to travel for in-person meetings approximately every three months.

Nice-to-haves

  • Basic understanding of people operations practices and principles is preferred.
