About the position

The People Operations Coordinator at Italian Home for Children is responsible for providing essential administrative and clerical support to the People Operations department. This role involves maintaining employee records, administering benefits, coordinating hiring activities, and responding to employee inquiries. The coordinator will work closely with the Director of People Operations and other team members to ensure smooth departmental operations and compliance with policies and procedures. This is a hybrid position requiring two days a week in the Jamaica Plain office.

Responsibilities

  • Respond to internal and external People Operations related inquiries or requests.
  • Manage benefit enrollments and terminations.
  • Redirect People Operations correspondence to the appropriate team member.
  • Maintain records of personnel-related data in the HRIS system (Paycom).
  • Administer Workers compensation and MA PFL leaves.
  • Support the recruitment/hiring process by coordinating background checks and assisting with interview scheduling.
  • Assist supervisors in performance management procedures.
  • Schedule meetings, interviews, and People Operations events, maintaining the team's agenda.
  • Assist with the People Operations monthly newsletter.
  • Coordinate training sessions and seminars.
  • Perform orientations, onboarding, and update records with new hires.
  • Produce and submit monthly reports on People Operations activity.
  • Assist in ad-hoc People Operations projects, such as collecting employee feedback and data.

Requirements

  • Proven experience as a People Operations Coordinator or relevant Human Resources/Administrative position.
  • Knowledge of human resources processes and best practices.
  • Expert knowledge of Microsoft Office Suite, including Outlook.
  • Experience with databases and HRIS systems (Paycom a plus).
  • Familiarity with ATS and understanding of the full-cycle recruiting process.
  • Outstanding communication and people skills.
  • Strong attention to detail and commitment to follow-through.
  • Ability to manage data with confidentiality.
  • Multi-tasker & comfortable in a fast-paced environment, juggling multiple priorities.
