About the position

The People Operations Coordinator will support the People Operations department by performing various administrative and operational tasks related to employee engagement, recruiting, hiring, onboarding, and offboarding. This role focuses on improving the employee experience and enhancing HR processes, working closely with a team of HR professionals to meet the organization's goals and objectives.

Responsibilities

  • Collaborate with People Operations team to plan, organize, and execute employee engagement initiatives such as team-building activities, recognition programs, and wellness initiatives.
  • Support the creation and distribution of internal communications to promote engagement programs and events.
  • Work with vendors to coordinate logistics, budgets, and timelines to ensure smooth execution of events.
  • Create event materials, including invitations, agendas, and surveys.
  • Oversee and maintain the organization's employee Instagram account.
  • Create and disseminate a monthly electronic newsletter.
  • Assist in coordinating VSG's large-scale events including the annual holiday party, service awards, and end-of-season celebration.
  • Assist with recruitment efforts including job postings, interview coordination, and candidate communication.
  • Participate in job fairs and other recruitment activities to increase the pipeline of quality candidates.
  • Assist in booking travel and accommodations for out-of-town candidates during the interview process.
  • Identify opportunities for improving the candidate experience and streamlining processes.
  • Support the onboarding process, ensuring new hires have a positive and engaging experience from day one.
  • Perform audits to ensure required New Hire paperwork is complete.
  • Support HR transactions such as hires, terms, leaves, employee data changes, and document management via Workday.
  • Provide outstanding service to candidates and team members by answering emails, phone calls, and inquiries in a timely manner.
  • Stay abreast of current trends and developments within the Human Resources industry.
  • Ensure federal, state, local, and company regulations are followed when handling hard and digital associate files.
  • Assist with the department invoicing process.
  • Perform additional duties as assigned.
  • Game/Event Night responsibilities: Rotating, with approximately 10-15 events worked per year.

Requirements

  • 1-3 years of experience in human resources or related administrative roles with a focus on employee engagement, event planning, and/or recruiting.
  • Bachelor's degree in human resources or similar field or equivalent work experience.
  • Demonstrated ability to think outside the box and develop innovative solutions to enhance employee engagement, workplace culture, and HR processes.
  • Knowledge of recruiting and hiring lifecycle.
  • Ability to independently manage multiple tasks and projects simultaneously in a fast-paced environment with tight deadlines.
  • Ability to professionally handle confidential and sensitive information.
  • Must be a team player with the ability to build strong relationships within your team and across VSG departments.
  • Experience with using applicant tracking systems and similar HRIS tools; Workday experience preferred but not required.
  • Exceptional attention to detail with a sense of urgency and a can-do attitude.
  • Exceptional organizational, written, and verbal communication skills.
