About the position

The People Operations (POPs) Recruitment Coordinator at Arts for Learning Maryland plays a vital role in enhancing the recruitment and onboarding processes within the organization. This position is dedicated to ensuring that the recruitment strategies align with the mission of enriching the lives of Maryland's youth through arts education. The Recruitment Coordinator will work closely with various departments to implement effective staffing solutions that comply with company policies and legal regulations, ensuring a positive experience for new employees from the moment they apply until their first day and beyond. In this full-time role, the Recruitment Coordinator will collaborate with the POPs Manager and hiring managers to assess staffing needs and develop tailored recruitment strategies. This includes coordinating job postings across various platforms to attract qualified candidates, screening resumes, and facilitating interviews. The Coordinator will serve as the primary point of contact for candidates throughout the recruitment process, providing timely updates and addressing any inquiries they may have. Additionally, the Recruitment Coordinator will support the onboarding process by preparing and distributing offer letters and employment agreements, scheduling orientation sessions, and ensuring that all necessary paperwork is completed. Maintaining accurate records through HRIS and/or ATS software is crucial, as is staying updated on relevant employment laws to ensure compliance in all recruitment and onboarding activities. The role also involves supporting the offboarding process and collaborating with the POPs Data Coordinator to analyze onboarding processes and employee feedback for continuous improvement. This position requires a blend of administrative skills, excellent communication, and a passion for providing exceptional service to both internal stakeholders and new employees.

Responsibilities

  • Collaborate with the POPs Manager and hiring managers to determine staffing needs and develop a recruitment strategy.
  • Coordinate job postings on various job boards, career websites, and other platforms to attract qualified candidates.
  • Screen resumes and coordinate interviews with hiring teams.
  • Serve as the main point of contact for candidates throughout the recruitment process, providing timely updates and addressing inquiries.
  • Support the preparation and distribution of offer letters, employment agreements, and other onboarding documents for full-time employees and temporary/seasonal program employees.
  • Coordinate and monitor the onboarding process by scheduling and facilitating orientation sessions, training programs, and various onboarding activities.
  • Maintain seasonal staffing reports and provide weekly updates to management and program teams.
  • Stay updated on relevant employment laws and regulations to ensure compliance in all recruitment and onboarding activities.
  • Maintain accurate records and documentation related to recruitment and onboarding processes through HRIS and/or ATS software.
  • Support the POPs Manager with the offboarding process, ensuring a smooth transition for departing employees.
  • Collaborate with the POPs Data Coordinator to analyze onboarding processes, employee feedback, and data to identify areas for organizational improvement.
  • Attend all-staff meetings and training sessions as needed.
  • Other People Operations duties as assigned.

Requirements

  • Previous experience in HR recruiting, or a related role, with exposure to staffing coordination or administrative support.
  • Good working knowledge of HR practices and labor legislation.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously and prioritize workload effectively.
  • Proficiency in Google Workspace software and tools.
  • Previous experience with HRIS software and applicant tracking systems (ATS).
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Positive attitude and willingness to learn and grow within a non-profit environment.
  • Excellent communication skills, both verbal and written, with the ability to interact professionally with candidates, hiring managers, and team members.
  • An understanding of the concepts of institutional and structural racism and bias and its impact on policies and practices, especially related to the administration of public education.
