About the position

The People Operations/Talent Acquisition Coordinator at XL Construction is a vital role that provides high-level support and coordination to the People Operations and Talent Acquisition teams. This position is fast-paced and requires strong proficiency in systems and data management, as well as standard office efficiency tools like Excel and Outlook. The ideal candidate will have prior experience in human resources and recruiting, along with excellent organizational and communication skills.

Responsibilities

  • Serve as the first point of contact for employee inquiries regarding policies and benefits.
  • Redirect and escalate employee inquiries as necessary.
  • Complete EDD forms within 24 hours of receipt.
  • Facilitate employment verifications.
  • Initiate employee status change requests and route for approvals.
  • Maintain employee files and digitize documents as needed.
  • Audit employee I-9 files monthly.
  • Provide administration and reporting of employee data such as birthdays, anniversaries, and headcount.
  • Manage employee demographic changes in HRIS.
  • Prepare and send out offer letters to candidates.
  • Conduct pre-employment background screenings for candidates.
  • Conduct new hire orientation and manage data entry pre and post-hire.
  • Support new hire setup and orientation activities.
  • Order business cards for new hires.
  • Reconcile and fund benefit invoices under guidance of the Total Rewards Specialist.
  • Support wellness program activities and open enrollment activities.
  • Assist in administering and tracking employee leave of absences.
  • Support audit processes for 401(k) and other audits.
  • Process annual union pay increases.
  • Validate background check status for projects.
  • Administer and maintain applicant status and workflow in the ATS, Jobvite.
  • Import resumes and input data for candidates and employees in Jobvite weekly.
  • Generate reports and analytics related to HR and talent acquisition activities.
  • Coordinate, schedule, and host candidate interviews, both in-person and virtual.
  • Assist in the coordination of the College Recruitment Program and College Summer Intern Program.
  • Support the execution of XLI's participation in the ASC Reno Competition.
  • Assist in the development and implementation of the Community College Program.
  • Administer and track the Employee Referral Bonus Program Campaign.
  • Coordinate with marketing teams to develop recruitment materials and new hire swag.
  • Provide support for People special events.

Requirements

  • Bachelor's degree in a relevant field.
  • 3+ years of HR administrative and/or data entry experience, with prior recruiting experience preferred.
  • Proficient in Microsoft applications, particularly Excel (including pivot tables).
  • Experience with Webex, Smartsheets, and Asana is a plus.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy in data management.
  • Familiarity with social media, especially LinkedIn.
  • Excellent communication and problem-solving skills.
  • Strong interpersonal skills and results-oriented approach.
  • Integrity and confidentiality in handling sensitive information.
  • Ability to work in a fast-paced environment and be a team player.

Nice-to-haves

  • Experience with applicant tracking systems (ATS) like Jobvite.
  • Familiarity with wellness program administration.
  • Experience in coordinating recruitment events.
