About the position

The Administrative Support Staff plays a crucial role in ensuring the smooth operation of a busy office environment at BHcare Inc. This position is responsible for providing administrative support to clinical staff and clients, maintaining professional standards, and ensuring a respectful atmosphere for clients and their families. The role requires teamwork across two clinics, with responsibilities including client interaction, appointment scheduling, record-keeping, and general office management.

Responsibilities

  • Greet clients and visitors at check-in, documenting attendance and informing staff as required.
  • Assist in managing waiting rooms to ensure clients are comfortable and treated respectfully.
  • Schedule MD and Clinician appointments, manage client cancellation lists, and backfill appointments.
  • Prepare memos, correspondence, forms, and other documents as needed.
  • Maintain accurate and up-to-date filing and record-keeping systems, both paper-based and electronic.
  • Collect and copy insurance cards and other client information regularly.
  • Prepare and expedite reminder calls daily using automated tools or manually as needed.
  • Manage and distribute incoming and outgoing mail and packages for the clinic.
  • Respond timely to internal and external requests for client information or formal record requests.
  • Assist with ordering supplies for front desk and medical staff.
  • Perform chart maintenance, including archival of active client records and timely opening and closing of client records.
  • Attend training sessions, workshops, and seminars as required.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Two years related experience and/or training; or equivalent combination of education and experience.
  • Knowledge of various office equipment and computer skills, including typing and organization.
  • Ability to manage multiple telephone lines.
  • Proficiency in Microsoft 365.
  • Ability to navigate through electronic health records system (EHR).
