About the position

The Perioperative Scheduler for Neurosurgery at Rush University Medical Center is responsible for coordinating surgical appointments and acting as a liaison between patients, department staff, and operating room teams. This role is essential in ensuring effective communication and scheduling processes, aligning with the hospital's mission and values.

Responsibilities

  • Schedules, reschedules, or cancels surgical appointments.
  • Communicates with all surgical candidates to set up appointments and provide information about pre-operative requirements.
  • Coordinates surgical scheduling information flow into and out of the clinic.
  • Maintains direct communication with key OR staff.
  • Contacts outside agencies to retrieve insurance preauthorization and other medical documentation.
  • Keeps an open line of communication with scheduled patients and medical staff.
  • Solves surgical scheduling problems by seeking out appropriate resources.
  • Answers telephone calls efficiently and courteously.
  • Provides information as requested or routes calls appropriately.
  • Updates electronic medical records appropriately.
  • Works as part of the surgical scheduling team and accepts other duties as requested.
  • Handles various office details including retrieving and sending mail, preparation of surgical documents, and filing documentation into medical records.
  • Exemplifies professionalism in all communications with staff and outside contacts.
  • Performs duties to assist the medical staff independently at the direction of management.

Requirements

  • High School Diploma.
  • Manual dexterity, effective communication, precision and accuracy.
  • Intermediate knowledge of Microsoft Office Suite; Epic software knowledge is an advantage.
  • Ability to communicate well with patients and all levels of staff.
  • Able to manage multiple tasks simultaneously.
  • Works well individually and as part of a team.

Nice-to-haves

  • Certified Medical Assistant experience.
  • Three years of medical office experience.
  • Experience obtaining prior authorizations & knowledge of insurance authorization processes.
