About the position

Triton Window Distributors is seeking a dedicated and organized Office Administrator to join our team in Doral, FL. This is a full-time, permanent position that plays a crucial role in supporting our daily operations and ensuring excellent customer service. The Office Administrator will perform key administrative support functions and manage various tasks related to customer and installer team management throughout the project lifecycle. This includes handling customer appointments for measurements, installations, service calls, and inspections, as well as maintaining office records and preparing inspection documents in coordination with municipalities. In this role, you will be responsible for dispatching installers daily and keeping track of their activities to ensure smooth operations. You will also be expected to follow up with customers regarding their appointments and provide secretarial support, including managing primary office phone calls. The ideal candidate will have a strong ability to work under stress and maintain organization in a fast-paced environment. Triton Window Distributors prides itself on providing high-quality impact windows and doors, and your contribution will be vital in upholding our commitment to excellent customer service. The working hours for this position are Monday through Friday, from 7:30 am to 4:30 pm, with no evening or weekend work required. While health insurance is not currently offered, it is under consideration for future implementation. We are looking for someone who is responsible, organized, and capable of handling a high-paced work environment.

Responsibilities

  • Perform key administrative support functions and everyday administrative duties
  • Manage customer interactions throughout the project
  • Oversee installer team management during installation preparation, installation, and project completion
  • Perform secretarial and office support duties including handling primary office phone calls
  • Schedule and manage customer appointments for measurements, installations, service calls, and inspections
  • Conduct daily follow-up calls with customers regarding appointments
  • Maintain office records and documentation
  • Prepare inspection documents and coordinate scheduling with municipalities
  • Dispatch installers daily and track their activities

Requirements

  • 2 - 4 years of administrative experience
  • Excellent verbal and written communication skills, clear and professional both in person and over the phone
  • Bilingual in English and Spanish, with a strong command of the English language
  • Intermediate to advanced level in MS Office Applications (Visio is a plus)
  • Minimum high school diploma required; some college (AA or college-level coursework preferred)
  • Ability to work under stress
