About the position

Health Genesis Corp is seeking a highly organized Personal Administrative Assistant to support the Vice President of Sales and Business Development in a fast-paced environment within the nutraceutical industry. The role involves providing comprehensive administrative support, managing schedules, assisting with sales operations, and ensuring high levels of customer service. The ideal candidate will have a strong background in administrative tasks, proficiency in Excel, and a solid understanding of chemistry and mathematics as they relate to nutraceuticals.

Responsibilities

  • Provide comprehensive administrative support to the VP of Sales, including managing schedules, booking meetings, preparing presentations, and handling correspondence.
  • Assist with sales data analysis, reporting, and tracking sales performance using Excel and other tools.
  • Serve as a point of contact for key clients, distributors, vendors, addressing inquiries, following up on requests, and ensuring a high level of satisfaction.
  • Assist in the coordination of sales events, trade shows, and marketing campaigns, preparing necessary materials and handling logistics.
  • Conduct research on industry trends, competitor activities, and new product developments, tracking and managing sales leads and customer feedback.
  • Leverage understanding of basic chemistry and math principles related to nutraceuticals to assist in formulating product strategies and communicating technical information effectively.
  • Maintain and prioritize the VP of Sales' calendar, ensuring that all tasks, appointments, and deadlines are managed effectively.
  • Assist with contracts, sales agreements, presentations, and other documents, ensuring accuracy and confidentiality.

Requirements

  • High school diploma or equivalent required; bachelor's degree preferred, especially in business, chemistry, or a related field.
  • Minimum of 3-5 years of experience in an executive administrative assistant or customer service role, preferably within the nutraceutical, pharmaceutical, or healthcare industry.
  • Proficient in Microsoft Excel with advanced skills in data analysis, creating pivot tables, VLOOKUP, and using formulas.
  • Strong understanding of basic chemistry and math concepts, particularly related to supplements and nutraceutical formulations.
  • Excellent written and verbal communication skills.
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Detail-oriented with strong organizational and multitasking abilities.
  • Customer-service oriented, with a professional and friendly demeanor when engaging with clients and stakeholders.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong problem-solving and critical thinking skills.

Nice-to-haves

  • Experience in the nutraceutical or pharmaceutical industry.
  • Familiarity with CRM software and sales tracking tools.
  • Knowledge of industry regulations related to nutraceuticals (e.g., FDA, GMP standards).
