About the position

The Personal Administrative Assistant at Apex Family Law will provide essential support to the Managing Partner and other attorneys in a busy law firm specializing in complex family law litigation. This role is crucial for ensuring efficient operations and maintaining a collaborative work environment. The ideal candidate will possess strong interpersonal skills, proactive problem-solving abilities, and excellent organizational capabilities.

Responsibilities

  • Coordinate scheduling and calendar management for the Managing Partner and other Partners as requested.
  • Coordinate travel logistics and activities, including accommodations, transportation, and meals for the Firm.
  • Provide administrative support to Partners.
  • Manage various annual renewals for partners and attorneys (State Bar, networking, etc.).
  • Coordinate events and speaking engagements for the firm.
  • Draft, review and send communications on behalf of the Managing Partner, Executive Director and Partners as requested.
  • Answer and respond to phone calls, communicate messages and information to the Managing Partner.
  • Manage inbox for Managing Partner.
  • Assist with daily time management.
  • Routinely perform a wide variety of support duties firmwide as they arise.
  • Prepare and submit expenses to accounting and clients on behalf of the Managing Partner.
  • Oversee Apex East (additional office space) - Maintain supplies, schedule regular cleanings, coordinate with guests, etc.
  • Operate with strict confidentiality and manage sensitive information.
  • Look for new ways to do things and think outside of the normal way of doing business to add value to the team.
  • Organize, monitor and track numerous ongoing projects.
