About the position

A high-profile plaintiff's personal injury law firm, located in Manhattan's Financial District, is seeking a polished, seasoned, and well-experienced Personal Assistant/Executive Assistant to support the CEO. This position is crucial for the smooth operation of the CEO's daily activities and will involve a blend of personal and executive assistance duties. The role is split approximately 60% Personal Assistant responsibilities and 40% Executive Assistant tasks. The Personal Assistant responsibilities include scheduling and heavy calendar management for both business and personal engagements, acting as a gatekeeper for the CEO, and managing all incoming communications. This includes taking, screening, and vetting phone calls to ensure that only the most pertinent matters reach the CEO. Additionally, the assistant will be responsible for producing compliance reports that facilitate the CEO's ability to effectively lead the firm. The role also requires liaising directly with various doctor's offices and medical facilities, entering tasks into Outlook and Asana to ensure completion, and running various personal errands as needed. On the Executive Assistant side, the responsibilities include drafting slides, meeting notes, and documents, managing contacts in Outlook, and performing ad hoc projects as required. The ideal candidate must have a high regard for client, employee, and family confidentiality, and must be able to prioritize tasks efficiently. Attendance is crucial in this role, and the candidate must be prepared to work flexible extended hours, including some evenings and weekends.

Responsibilities

  • Scheduling and heavy calendar management for both business and personal calendars

Requirements

  • Bachelor's Degree Required
  • At least 4 years of proven work experience as a Personal Assistant
  • At least 7 years of relevant experience supporting high-level executives
  • Fluency in Spanish required
  • Proficient in Microsoft Office suite
  • Well-organized and detail-oriented
  • Ability to multi-task with great follow-up skills
  • Strong interpersonal and written and verbal communication skills
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Must be able to work flexible extended hours, including some evenings and weekends
  • Commitment to confidentiality required
  • Attendance is crucial in this role

Nice-to-haves
