About the position

The Personal Assistant/Executive Assistant to the CEO at E.P. Breaux Utility Services LLC is a full-time role focused on providing comprehensive support to the CEO. This position involves managing the CEO's daily activities, coordinating communications, and handling driving responsibilities. The ideal candidate will possess exceptional organizational skills, discretion, and the ability to anticipate the CEO's needs, ensuring that all business activities run smoothly and efficiently.

Responsibilities

  • Manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements.
  • Handle all communications on behalf of the CEO, including emails, phone calls, and correspondence.
  • Organize and maintain confidential files, documents, and presentations.
  • Prepare meeting agendas, take notes, and follow up on action items as required.
  • Coordinate internal and external meetings, including those with clients, board members, and partners.
  • Research and prepare reports, proposals, and briefings for the CEO.
  • Assist in project management and monitor progress on strategic initiatives.
  • Oversee the CEO's personal tasks, including managing personal appointments, reservations, and events.
  • Run errands and complete management tasks as requested.
  • Handle finances, and manage expense reports.
  • Provide support with any personal or family-related matters that require attention.
  • Serve as the primary driver for the CEO, ensuring safe, timely, and professional transportation to business meetings, events, and other locations.
  • Plan and optimize driving routes to ensure timely arrivals.
  • Assist with other transportation needs, such as picking up visitors or clients from airports or driving family members when needed.

Requirements

  • Proven experience as a Personal Assistant, Executive Assistant, or Chauffeur.
  • Valid driver's license with a clean driving record.
  • Excellent knowledge of local driving routes and traffic regulations.
  • Outstanding organizational and time management skills with the ability to multitask effectively.
  • Strong communication skills, both written and verbal.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite.
  • High level of discretion and confidentiality.
  • Ability to anticipate needs and prioritize tasks in a fast-paced environment.
  • Flexibility to accommodate non-standard work hours, including evenings or weekends as needed.
  • A professional demeanor, presentable appearance, and punctuality are essential.
