About the position

We are seeking a highly organized and proactive Personal Assistant / Executive Assistant to provide comprehensive support in both personal and professional capacities. This role is ideal for someone who thrives in a dynamic environment, is detail-oriented, and enjoys managing a diverse set of responsibilities. The Personal Assistant / Executive Assistant will play a crucial role in ensuring the smooth operation of daily tasks and responsibilities, allowing executives to focus on strategic initiatives. This position requires a high level of discretion and confidentiality, as the assistant will be privy to sensitive information and will be responsible for managing various personal and professional tasks. In the personal support capacity, the assistant will be responsible for running in-person errands such as shopping and dry cleaning, managing personal bill payments, and coordinating personal appointments, reservations, and travel arrangements. This aspect of the role requires a proactive approach and the ability to anticipate the needs of the executives. On the professional side, the assistant will assist with email management, including sorting, responding, and prioritizing communications. They will manage complex scheduling for both personal and business appointments and help with HR recruiting tasks such as job postings, resume screenings, and candidate scheduling. Acting as a liaison between executives and internal/external stakeholders, the assistant will provide general office management and administrative support as needed, ensuring that all tasks are completed efficiently and effectively.

Responsibilities

Requirements

  • Proven experience as a personal assistant, executive assistant, or similar role
  • Strong organizational skills with the ability to manage multiple tasks and priorities
  • Excellent communication and interpersonal skills
  • High level of discretion and confidentiality
  • Proficiency in office software (e.g., MS Office, Google Workspace)
  • Experience in HR/recruiting is a plus
  • Valid driver's license and reliable transportation
  • Clean motor vehicle record
