About the position

We are seeking a motivated and enthusiastic Personal Assistant to join our dynamic construction and design company. This role is essential for supporting the owners in various tasks that streamline operations and enhance client relationships. The position involves driving the owners to job sites and events, managing social media presence, and assisting with scheduling and errands. Ideal candidates will have strong organizational and interpersonal skills, a clean driving record, and a desire to learn about the construction and design industry.

Responsibilities

  • Manage and maintain the executive's calendar, including scheduling appointments and organizing meetings using Outlook Calendar.
  • Coordinate events, including planning logistics, arranging venues, and managing guest lists.
  • Provide executive administrative support by preparing reports, presentations, and correspondence as needed.
  • Handle phone systems effectively, ensuring timely communication and follow-up on messages.
  • Organize and maintain files, both physical and digital, ensuring easy access to important documents.
  • Assist with project coordination by tracking deadlines and deliverables to ensure timely completion of tasks.
  • Support office management tasks, including ordering supplies and maintaining an organized workspace.
  • Serve as a liaison between the executive team and other departments or external contacts.

Requirements

  • Proficiency in phone systems and effective communication skills.
  • Strong event planning capabilities with an eye for detail.
  • Experience in providing executive administrative support in a fast-paced environment.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • Familiarity with Outlook Calendar for scheduling and managing appointments.
  • Ability to file documents systematically for easy retrieval.
  • Knowledge of project coordination principles to assist in tracking progress and deadlines.
  • Competent office management skills to ensure smooth daily operations.
  • Strong typing skills for efficient documentation and correspondence.

Nice-to-haves

  • Experience with Microsoft Excel (1 year preferred).
  • Experience with Microsoft PowerPoint (1 year preferred).
  • Ability to commute to Charlotte, NC 28277 (preferred).
