About the position

The Personal Assistant to the CEO plays a crucial role in providing administrative support to the executive team, ensuring smooth operations within a fast-paced office environment. This position involves managing schedules, coordinating travel, and handling various administrative tasks to facilitate the CEO's and executive team's effectiveness.

Responsibilities

  • Provide administrative support to the executive team
  • Manage and maintain schedules, appointments, and meetings using Outlook Calendar
  • Coordinate travel arrangements and accommodations
  • Prepare and edit documents using DocuSign and Microsoft Office Suite
  • Transcribe and proofread documents as needed
  • Perform data entry tasks accurately and efficiently
  • Manage front desk operations, including greeting visitors and answering phone calls
  • File and organize documents both physically and digitally
  • Assist with customer service inquiries and provide excellent service
  • Make payments for bills, credit cards, and car payments

Requirements

  • Previous experience as a personal assistant or in an administrative role preferred
  • Proficient in using Microsoft Office Suite, including Word, Excel, and PowerPoint
  • Strong attention to detail and excellent organizational skills
  • Ability to handle confidential information with discretion
  • Excellent written and verbal communication skills
  • Familiarity with Google Suite is a plus
  • Must be bilingual in Spanish and English
