About the position

Laprea Education Inc., a leader in K-4 educational publishing, is seeking an exceptionally organized, proactive, and highly efficient Personal Assistant to the CEO who will also serve as the Office Manager for our new headquarters in Valhalla, New York. This dual-role position is ideal for a person who thrives in a fast-paced environment, is a quick learner, and possesses a 'Type-A' personality with a strong inclination toward problem-solving and proactive task management. The ideal candidate will be one step ahead, anticipating the needs of the CEO and the office, ensuring that everything runs smoothly and efficiently. As the Personal Assistant to the CEO, you will provide high-level administrative support, including managing the CEO's calendar, scheduling meetings, coordinating travel arrangements, and preparing materials for meetings. You will prioritize and manage multiple tasks and projects for the CEO, ensuring timely completion and attention to detail. Serving as the primary point of contact between the CEO and internal/external stakeholders, you will ensure clear and effective communication. Additionally, you will prepare, edit, and distribute correspondence, reports, and presentations on behalf of the CEO while handling sensitive information with the highest level of confidentiality and discretion. In your role as Office Manager, you will oversee all aspects of office operations, including supply management, office organization, and maintenance of a productive work environment. You will coordinate with vendors for office supplies, equipment, and other services, ensuring timely delivery and quality service. Event planning will also be part of your responsibilities, as you organize and coordinate internal and external events, meetings, and functions, including catering and logistics. You will ensure the office complies with all health and safety regulations and maintain records as required, while also liaising with the IT department to ensure all office technology is up to date and functioning correctly. This role requires being on-site at the Valhalla, New York headquarters and may involve occasional evening or weekend work to meet deadlines or support the CEO's schedule.

Responsibilities

  • Provide administrative support to the New York team as needed, assisting with scheduling, travel arrangements, and other ad-hoc tasks.

Requirements

  • Bachelor's degree in Business Administration, Management, or a related field preferred.
  • At least 3-5 years of experience as a Personal Assistant, Executive Assistant, or Office Manager, preferably in a fast-paced environment.
  • Exceptional ability to organize, prioritize, and manage multiple tasks and projects simultaneously.
  • Strong problem-solving skills with a proactive approach to identifying and addressing potential issues.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Personable, hardworking, adaptable, and able to maintain composure under pressure.
  • Keen attention to detail with a commitment to accuracy in all tasks.
  • Ability to handle sensitive information with the utmost discretion.
