About the position

The Personal Assistant role at Aman Group Sarl is designed to support the Managing Director and Hotel Manager by managing a variety of administrative and executive tasks. This position is integral to the daily operations of a luxury brand, requiring a resourceful and proactive individual who thrives in a fast-paced environment. The role emphasizes strong organizational and communication skills, as well as the ability to handle confidential information and provide exceptional guest services.

Responsibilities

  • Managing an active calendar of appointments for the Managing Director and Hotel Manager.
  • Composing and preparing confidential correspondence.
  • Updating Outlook contacts and managing external communications.
  • Driving various projects assigned by the Managing Director and Hotel Manager.
  • Arranging travel plans, itineraries, and agendas, including completing expense reports.
  • Welcoming guests and representing Aman by answering questions and meeting requests.
  • Completing administrative tasks such as printing, reviewing outside mail, handling invoices, scanning and filing documents, and maintaining executive files.

Requirements

  • Previous personal assistant or executive assistant experience at a senior level.
  • Strong organizational skills to handle multiple tasks in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office.
  • Outstanding guest service skills and professional presentation.
  • Sophisticated interpersonal skills, sensitive to cultural nuances.
  • Previous experience with Concur and knowledge of Opera and Birchstreet systems.
  • Legal right to work in the US.
