About the position

We are a fast-growing food manufacturing business located in Chicago seeking a highly organized and proactive Personal Assistant to support our team in various administrative tasks. The ideal candidate will possess exceptional multitasking abilities and a keen attention to detail, ensuring that daily operations run smoothly. This role is perfect for someone who thrives in a fast-paced environment and is eager to contribute to the success of our organization. As our operations include different departments such as accounting, maintenance, R&D, buying/sales, and logistics, you should feel confident with getting to know people from different departments and helping coordinate issues and concerns between the groups and relaying them to the manager.

Responsibilities

  • Manage and maintain calendars, scheduling appointments and meetings efficiently.
  • Handle correspondence, including emails and phone calls, ensuring timely responses.
  • Assist with project coordination by tracking progress and deadlines.
  • Utilize QuickBooks and/or Excel for basic accounting tasks as needed.
  • Perform proofreading of documents to ensure accuracy and professionalism.
  • Provide excellent customer service by addressing inquiries and resolving issues promptly.
  • Organize office files and maintain an efficient filing system.
  • Support various administrative tasks as required to enhance overall productivity.

Requirements

  • Strong calendar management skills with the ability to prioritize tasks effectively.
  • Proficient computer literacy, including familiarity with Microsoft Office Suite.
  • Experience with QuickBooks is a plus but not mandatory.
  • Knowledge of phone systems for effective communication.
  • Previous experience as a Personal Assistant or in a similar role is preferred.
  • Excellent project coordination skills, ensuring all tasks are completed on time.
  • Strong organizational skills to manage multiple responsibilities simultaneously.
  • Attention to detail in proofreading documents and communications.
  • Exceptional customer service skills, fostering positive relationships with clients and colleagues.

Nice-to-haves

  • Being Bilingual (prefer Chinese or Spanish as 2nd language) would be a major plus.

  • Full-time position with expected hours of 40 per week.
  • Competitive pay range of $26.00 - $32.00 per hour.
