About the position

The Personal Assistant will support a principal client of Wealthgate Family Office, a full-service family office based in Boulder, Colorado. This role involves managing the client's day-to-day schedule, household tasks, travel arrangements, and various projects, requiring a detail-oriented individual with a client service mindset. The position demands collaboration with the client's Chief of Staff and Estate Manager, and it is essential for the candidate to be comfortable working in both home and office environments.

Responsibilities

  • Lead communications between internal and external team members on behalf of the client.
  • White glove coordination of client's domestic and international travel.
  • Communicate and collaborate with the team for all travel arrangements, involving client and family members as needed.
  • Assist client with personal and rental property management.
  • Manage all aspects of the client's pet care and supervise house/pet sitters.
  • Manage the client's calendar, make reservations, confirm appointments, and create travel itineraries.
  • Coordinate lunch for the client several times per week, and make arrangements for small at-home events.
  • Serve as a project manager in coordination with household staff and external vendors.
  • Complete household and personal errands in the Denver/Boulder area.
  • Household recordkeeping and inventory management.
  • Maintain vendor relationships and process vendor invoices.
  • Submit monthly expense reports for personal and business entities.
  • Manage client's recurring expenses, subscriptions, and season tickets.
  • Drive client to appointments and Rockies games in the Denver/Boulder area as needed.
  • Understand basic phone/IT settings and troubleshoot issues accordingly.
  • Perform light administrative duties as needed.

Requirements

  • At least 2 years of experience as a personal assistant.
  • Valid driver's license.
  • Comfortable working in a home environment with dogs and cats as well as in an office setting.
  • Client service mindset.
  • Polished communication skills.
  • Ability to manage multiple competing priorities.
  • Knowledge of Microsoft Office, Google Suite, and Zoom.
  • Experience using Slack, Asana, DocuSign, and Adobe Acrobat are preferred.
  • Experience coordinating domestic and international travel.
  • Private aviation experience is a plus.
  • Bachelor's degree preferred, or equivalent professional experience.
