About the position

The Personal & Professional Assistant to a business owner is responsible for streamlining day-to-day operations and managing both personal and professional tasks. This role is crucial in allowing the owner to focus on business growth and revenue generation by handling administrative duties, scheduling, and personal errands. The ideal candidate is organized, proactive, and thrives in a fast-paced environment, making a significant impact on the owner's productivity.

Responsibilities

  • Handle administrative tasks, including scheduling, email management, and prioritizing tasks.
  • Assist in organizing personal and professional calendars to ensure optimal time management.
  • Oversee personal errands and tasks (e.g., shopping, household management, light cooking, booking travel) to free up the owner's focus.
  • Act as a gatekeeper for communication, filtering out distractions and ensuring focus remains on revenue-driving activities.
  • Coordinate with vendors, contractors, and staff to ensure smooth operations across businesses.
  • Schedule and time out personal events of all sorts, to maximize work efficiency and ensure the main goal is always in focus.
  • Research and manage purchases, contracts, and other logistical needs for both business and personal matters.
  • Ensure timely execution of tasks related to business operations without compromising personal life.
  • Assist with event planning, business travel, and client management as needed.

Requirements

  • 2+ years of experience as an executive assistant, personal assistant, or similar role.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and work independently.
  • Excellent verbal and written communication skills.
  • Proficiency with Google Suite, and project management tools, Google Calendar, Discord, Notion, Gmail.
  • Problem-solving mindset with a proactive approach to identifying inefficiencies.
  • Trustworthy, with the ability to handle confidential information.

Nice-to-haves

  • Previous experience working with business owners or entrepreneurs.
  • Bilingual in English and Spanish is a plus.
