About the position

The Personal Assistant will provide high-level support to a successful entrepreneur, writer, speaker, and mother, primarily located in Costa Mesa and Newport Beach. This role requires a proactive individual who can manage multiple tasks, maintain organization, and contribute positively to the mission of the employer. The assistant will be responsible for various administrative and personal tasks, ensuring the smooth operation of both business and personal activities.

Responsibilities

  • Manage Executive Calendar meticulously.
  • Coordinate company communications and special projects.
  • Update electronic devices and oversee IT tasks.
  • Manage paper and electronic filing systems.
  • Plan travel and VIP client meetings.
  • Proofread general correspondence.
  • Answer emails, return phone calls, and organize mail/files.
  • Organize bills, manage receipts, and prepare monthly reports for accounting.
  • Assist with household shopping and meal prep.
  • Help with household pets as needed.
  • Plan and execute special events.
  • Manage vehicle maintenance and inspections.
  • Conduct internet research and shopping.

Requirements

  • 2+ years of administrative experience preferred.
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Proficient in accounting software such as QuickBooks and Sage.
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks simultaneously.
  • Excellent oral and written communication skills.
  • Clean driving record and reliable car for errands.

Nice-to-haves

  • Bilingual in English and Spanish.
  • Experience with household management and organization.
  • Tech-savvy with troubleshooting skills for electronic devices.
