About the position

Join our team at SWH Supply Company as a Personal Assistant to our CEO. We are looking for an organized and professional individual who thrives in a busy corporate environment. The ideal candidate will be responsible for managing multiple calendars, scheduling meetings, and overseeing various administrative tasks that ensure the smooth operation of the executive's day-to-day activities. This role requires a high level of proficiency in relevant computer programs and applications, as well as a strong work ethic and attention to detail. As a Personal Assistant, you will screen incoming communications, including emails, phone calls, and mail, ensuring that the CEO is informed and prepared for all engagements. You will coordinate both internal and external meetings, which includes booking rooms and catering services. Maintaining the executives' data and contacts in the firm's CRM system is also a key responsibility, as is working with internal teams to ensure seamless execution of conferences and events. In addition to professional duties, you will assist with personal errands, such as shopping, event planning, and household tasks. If applicable, you may also coordinate family-related activities, including children's schedules. Upholding confidentiality and discretion regarding personal matters is paramount in this role, as you will be privy to sensitive information.

Responsibilities

  • Oversee multiple calendars, including scheduling meetings and appointments
  • Screen incoming communications, including emails, phone calls, and mail

Requirements

  • Bachelor's degree in Business, HR, Communications, etc.
  • Previous administrative experience
  • Able to prioritize tasks and manage time effectively
  • Excellent communication and interpersonal skills
  • Able to handle confidential information with sensitivity
  • Skilled in Microsoft Office Suite and QuickBooks Online (QBO)
