About the position

We are seeking a dedicated Personal Assistant to provide comprehensive support to our team at Flow Logistics. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication skills to assist in various administrative tasks. This position is crucial for ensuring the smooth operation of our executives' schedules and overall office management. The Personal Assistant will work in a modern office setting that promotes a relaxed atmosphere and casual work attire, with the flexibility of hybrid work options. The role involves managing and maintaining executives' schedules, coordinating meetings, appointments, and travel arrangements, and performing data entry while maintaining both electronic and paper records. Exceptional customer service is a key component of this role, as the assistant will interact with clients and guests regularly. Additionally, the Personal Assistant will assist with event planning and coordination, handle desk duties including answering calls and directing inquiries, and support management tasks such as ordering supplies and organizing files. The candidate will be expected to execute clerical tasks efficiently and offer administrative support as needed, utilizing tools like Outlook Calendar for managing calendars and scheduling appointments.

Responsibilities

Requirements

  • Proven experience in a similar role or related field is preferred
  • Proficiency in using tools like DocuSign for document management
  • Strong organizational skills with the ability to multitask effectively
  • Excellent communication skills, both written and verbal
  • Ability to prioritize tasks and meet deadlines consistently
  • Familiarity with calendar management tools for scheduling purposes
  • Capability to handle confidential information with discretion

Nice-to-haves

  • Experience with Microsoft Excel (1 year preferred)
