About the position

We are seeking a highly organized and proactive Real Estate Executive Assistant to support our dynamic real estate team. The ideal candidate will possess exceptional administrative skills, a strong understanding of the real estate industry, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of our real estate activities, assisting with client communications, and streamlining processes.

Responsibilities

  • Provide comprehensive administrative assistance to the real estate team.
  • Manage calendars, schedule appointments, and coordinate meetings.
  • Prepare and organize documents, reports, and presentations.
  • Serve as the first point of contact for clients and prospects via phone, email, and in-person interactions.
  • Assist with client inquiries and follow-up to ensure outstanding customer service.
  • Help maintain long-term relationships with clients, fostering communication and satisfaction.
  • Assist with the preparation of real estate transaction documents, including contracts, purchase agreements, and closing paperwork.
  • Coordinate with various stakeholders, including clients, agents, and title companies to facilitate smooth transactions.
  • Track and manage transaction timelines and ensure compliance with industry regulations.
  • Assist in the development and implementation of marketing strategies for listings.
  • Manage social media accounts and update online property listings.
  • Collaborate on marketing materials, including brochures, flyers, and newsletters.
  • Maintain and update the customer relationship management (CRM) system.
  • Organize and manage leads and follow-up schedules.
  • Ensure that all client and transaction information is accurately recorded and maintained.
  • Conduct market research and provide insights on property trends, pricing strategies, and competitor activities.
  • Prepare regular reports on team performance and key metrics as needed.

Requirements

  • High school diploma or equivalent; a degree in business administration or a related field is preferred.
  • Proven experience as an executive assistant or in a similar role, preferably in real estate or another sales industry.
  • Strong knowledge of real estate practices, terminology, and relevant software (e.g., MLS systems, CRM software).
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software tools.
  • Excellent organizational, time-management, and multitasking skills.
  • Strong verbal and written communication skills.
  • Ability to maintain a high level of confidentiality and professionalism.
  • Detail-oriented with strong problem-solving skills.

Nice-to-haves

  • Experience with Microsoft Excel and PowerPoint (1 year preferred).
