About the position

Empire Therapy is seeking a highly organized and detail-oriented Personal Assistant to support our CEO. The ideal candidate will provide comprehensive administrative support, ensuring seamless day-to-day operations within the organization. This role is pivotal in maintaining the efficiency of the CEO's schedule and overall productivity. The successful applicant will be responsible for managing schedules, coordinating events, and performing a variety of personal tasks as needed at the CEO's discretion. This position requires a strong background in office management, customer service, and administrative support, making it essential for the candidate to possess excellent organizational skills and attention to detail. In this role, the Personal Assistant will provide high-level administrative support, which includes calendar management, email management, and data entry. The candidate will manage and coordinate schedules, meetings, and events, ensuring that all deadlines are met and that events run smoothly. Additionally, the Personal Assistant will be responsible for scribing therapy appointments and taking meeting minutes, preparing and distributing documents, reports, and presentations as needed, and maintaining accurate and up-to-date records and databases. The Personal Assistant will also perform various clerical tasks such as filing, scanning, and photocopying, while providing exceptional customer service by responding to inquiries and resolving issues promptly and professionally. General office management duties will include ordering supplies, managing inventory, and maintaining a clean and organized workspace. The role may also require running errands as needed for the CEO to allow for her optimal productivity.

Responsibilities

  • Provide high-level administrative support to our CEO, including calendar management, email management, and data entry.

Requirements

  • Proficiency with Microsoft Office, Google and Apple products.
  • Strong data entry skills.
  • Excellent communication skills.
  • Ability to work independently and as part of a team.
  • Familiarity with office management software and systems.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong organizational and time management skills.
