The Personal Assistant will be responsible for a variety of tasks that ensure the smooth operation of the household and the well-being of family members. Key responsibilities include managing and organizing calendars, scheduling appointments, and coordinating meetings. The assistant will handle correspondence and prioritize communications with a high level of professionalism and confidentiality. Additionally, the role involves planning and organizing domestic and international travel, including flights, accommodations, and itineraries. The assistant will also be responsible for organizing and managing personal and family events, such as social gatherings, parties, and special occasions. The Personal Assistant will perform a variety of personal errands, including shopping, running errands, and managing personal projects. They will oversee and coordinate the organization of household spaces, ensuring that all areas are orderly and efficiently utilized, reflecting the family's preferences. Maintaining confidentiality regarding all personal and family matters is paramount. Family-specific duties include coordinating and managing the schedules of all family members, ensuring smooth transitions and timely arrivals for school, extracurricular activities, medical appointments, and social engagements. The assistant will assist with the coordination of childcare and educational needs, including arranging tutoring, activities, and playdates, and providing support for children's daily routines and special occasions. Personalized support to family members will also be a key aspect of the role, acting as a liaison between the family and external contacts, and facilitating communication between family members and external parties.

Responsibilities

  • Assist with the coordination of childcare and educational needs, including arranging tutoring, activities, and playdates.
  • Provide personalized support to family members, including helping with daily routines, special requests, and personal projects.
  • Facilitate communication between family members and external parties, including schools, service providers, and other personal contacts.

Requirements

  • Proven experience as a Personal Assistant, Family Assistant, or similar role, preferably with high net worth individuals or families.
  • Experience in managing complex schedules and multi-tasking.
  • Exceptional organizational and time-management skills.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and ability to quickly learn new technologies.
  • Excellent verbal and written communication skills.
  • Ability to interact professionally with high-profile individuals, children, and vendors.
  • High level of integrity and discretion in handling confidential information.
  • Willingness to work flexible hours and adapt to changing priorities and needs.
  • Ability to work within a team of other household staff and assistants.
