About the position

We are seeking a proactive and organized Personal Assistant to support the owners of our day spa with business planning and operational tasks. This role combines strategic and administrative responsibilities while providing backup support for front desk operations as needed.

Responsibilities

  • Assist the owner with planning and executing business strategies, such as marketing initiatives, service expansions, and vendor relationships.
  • Manage schedules, including business meetings, vendor appointments, and personal commitments.
  • Conduct research to support business decisions, such as sourcing products and analyzing competitors.
  • Create and maintain project plans, timelines, and reports.
  • Handle day-to-day operations, including drafting emails and preparing documents.
  • Maintain organized records for vendor contracts, employee schedules, and inventory tracking.
  • Assist with financial reporting and basic budgeting tasks.
  • Step in to greet clients, schedule appointments, and process payments when needed.
  • Handle client inquiries and concerns professionally.

Requirements

  • At least 2 years of experience in a personal assistant, executive assistant, or administrative role.
  • Familiarity with business operations in the wellness or hospitality industry is a plus.
  • Strong organizational and project management skills.
  • Excellent written and verbal communication.
  • Proficiency with tools like Google Workspace, Microsoft Office, and project management software (e.g., Asana, Trello).
  • Ability to balance business-focused tasks with occasional client-facing responsibilities.
  • Self-starter with a proactive and adaptable attitude.
  • Friendly, professional, and resourceful.
  • Ability to maintain confidentiality and professionalism.

Nice-to-haves

  • Experience with Microsoft Excel (1 year preferred).
