About the position

The Personal Executive Assistant will provide comprehensive administrative support to the Director and Chief, ensuring efficient operation and management of their schedule, communications, and tasks. This role requires a high level of professionalism, discretion, and the ability to handle multiple priorities effectively.

Responsibilities

  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Answer and direct phone calls using professional phone etiquette.
  • Prepare reports, presentations, and other documents as needed.
  • Track and reconcile expense reports and budgets.
  • Handle sensitive information with the utmost discretion and confidentiality.
  • Arrange travel itineraries, accommodation, and transportation.

Requirements

  • A bachelor's degree in business administration or a related field is preferred.
  • Minimum 3-5 years of experience as a Personal or Executive Assistant.
  • Proficient in office management practices and procedures.
  • Strong computer literacy with experience in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Familiarity with phone systems and front desk operations.
  • Strong attention to detail for accurate data entry and record keeping.
  • Effective communication skills, both verbal and written.
  • Ability to work independently as well as collaboratively within a team.
