About the position

We're looking to add a Personal Executive Assistant to our amazing team at Assist Health Group! This is an exciting opportunity to contribute to the growth of our company and make a significant impact in the field of healthcare. This position is on site in Farmer's Branch, Texas. Our ideal candidate is someone who loves to provide personalized secretarial and administrative support in a well-organized and timely manner. They will work one-on-one with the director in a variety of tasks related to both their working and personal life, communication, and beyond. A successful candidate will be able to be the point of contact for the director, manage multiple calendars, accept ownership for effectively solving issues, inquiries, and keep exceptional care at the core of every decision and action. They will be a self-starter with intellectual curiosity, strong problem-solving abilities, and someone who shows initiative. The role involves organizing meetings, including scheduling, sending reminders, and organizing other details when necessary. The Personal Executive Assistant will manage the director's personal and professional calendars, including making appointments and prioritizing the most sensitive matters. They will provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communication on the director's behalf. Maintaining comprehensive and accurate records is essential, as well as acting as the point of contact between the director and internal/external clients. The assistant will also take accurate and comprehensive notes at meetings, help with daily time management, handle requests and queries appropriately, and plan travel arrangements, which may include flights, accommodation, or ground transportation. Additionally, the role may involve running weekly bloodwork tests, with training provided.

Responsibilities

Requirements

  • High school diploma with 2+ years of proven experience or the equivalent in a role similar to receptionist, secretary, administrative assistant, or office manager
  • Exceptional written, verbal, and active listening skills
  • Proficiency in English and MS Office
  • Strong interpersonal skills
  • Proactive approach to problem-solving
  • Ability to multi-task and prioritize daily workload
  • Strong time-management and organization skills
  • Knowledge of office management systems and procedures
  • Ability to work collaboratively with other departments and stakeholders in the organization
  • Discretion and confidentiality

Nice-to-haves

  • Experience in the medical office and/or tech-savvy, preferred (but not required)
  • PA diploma or certification would be considered an advantage
