As a Personal Legal Assistant, you will play a crucial role in helping to grow an exceptional law firm. This position involves working closely with the Executive, where you will research new ideas and provide clear findings for their review. You will ensure high-quality customer service for both the Executive and clients, manage a complex calendar, and coordinate travel arrangements. Your responsibilities will also include organizing logistics for meetings and events, handling administrative tasks, and maintaining confidentiality while managing sensitive information. The ideal candidate will possess strong organizational skills, the ability to prioritize tasks effectively, and a proactive approach to problem-solving. You will be expected to juggle multiple activities and work under pressure while maintaining a positive attitude and a team-oriented mindset. This role is critical for keeping the Executive focused and organized, making your contribution vital to the firm's success.

Responsibilities

  • Work one-on-one with the Executive to research new ideas and provide clear findings for their review.
  • Ensure high quality customer service for the Executive and clients.
  • Schedule and confirm appointments, follow-up visits, and classes.
  • Manage and maintain a complex calendar, coordinating schedules and appointments.
  • Arrange travel, accommodations, and itineraries for business trips.
  • Organize and coordinate logistics for meetings, events, and conferences.
  • Perform administrative tasks as assigned.
  • Answer and direct phone calls.
  • Maintain contact lists.
  • Prioritize tasks and reprioritize as other items are added.
  • Provide prompt and professional service to internal and external clients as assigned.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Act as gatekeeper for the Executive, keeping them focused and organized.

Requirements

  • Ability to be flexible in work assignments; tasks change on a day-to-day basis.
  • Experience as an executive assistant or similar role is preferred.
  • Experience handling multiple phone lines.
  • Compassion and understanding.
  • Strong customer service skills.
  • Effective people skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Ability to manage multiple priorities at once.
  • Working knowledge of case management software is a plus.
  • Excellent secretarial and organizational skills.
  • Ability to juggle multiple activities and work under pressure.

Nice-to-haves

  • Experience in personal injury law.
  • Familiarity with Microsoft Excel and multi-calendar management.
