About the position

The Account Assistant (AA) is a crucial role within the personal lines department at OneDigital, serving as the backbone and foundation of the team. This position involves close collaboration with clients and the internal service team to ensure that service deliverables not only meet but exceed both client and agency expectations. The AA is responsible for a variety of essential duties that contribute to the smooth operation of the department and the satisfaction of clients. Key responsibilities include scanning, labeling, and distributing incoming mail via fax, email, and USPS. The AA will also prepare deposits for the accounting team, issue ID cards, and provide basic customer service over the phone, addressing inquiries related to billing, coverage, and change requests. Additionally, the Account Assistant will assist the production unit with special projects related to sales and servicing, ensuring that all tasks are completed efficiently and accurately. The role requires updating the Applied EPIC management system with necessary database changes and utilizing this system to produce change requests and suspense items in accordance with departmental timeframes. Data entry tasks, including endorsements and basic client information, are also part of the job. The AA will monitor and complete underwriting requests from carriers, prepare letters of explanation to insured clients, and follow up on late payments and cancellation notices from finance companies. Communication with clients and adjusters regarding claim status and progress is essential, as is assisting the production unit in the development of new accounts. The AA will also utilize word processing for proposals, certificates, and ordering ID cards, and prepare proposals while completing fact-finding opportunities and communicating with underwriting. Overall, the Account Assistant plays a vital role in ensuring that the personal lines department operates smoothly and that clients receive the highest level of service.

Responsibilities

  • Scan, label, and distribute mail that comes in via fax, email and USPS

  • Assist production unit in special projects related to sales and/or servicing
  • Update Applied EPIC management system with all necessary database changes

  • Perform data entry, including endorsements, and basic client information from producer or customer
  • Monitor and complete underwriting requests from carriers
  • Prepare letters of explanation to insured to accompany policy documentation
  • Follow up on late payments from customers and cancellation notices from finance companies
  • Communicate with clients and adjusters regarding claim status and progress
  • Assist production unit in development of new accounts
  • Utilize word processing for proposals, certificates and ordering ID cards
  • Prepare proposals, complete fact find opportunities, communicate with underwriting
  • Perform all other duties and projects as assigned

Requirements

  • Basic knowledge of Property and Casualty insurance coverage
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
  • Ability to navigate vendor or agency management systems as applicable
  • Proficiency in Applied EPIC or ability to learn this program
  • Knowledge of Adobe Acrobat is a plus
  • Ability to manage client needs and multiple tasks
  • Good organization skills
  • Attention to accuracy and detail
  • Excellent interpersonal skills and a pleasant disposition
  • Ability to work well with others in a fast-paced environment
  • Team player
  • High School or Associate Degree
  • CO Property & Casualty License
