About the position

The Administrative Assistant plays a crucial role in ensuring the smooth operation of the office by managing various administrative tasks. This position requires a professional who is comfortable with computers and general office tasks, and who excels in both verbal and written communication. The Administrative Assistant is responsible for compiling, updating, and maintaining files, as well as submitting requests to underwriters and reporting the results to the appropriate parties by entering data into customer contact systems. The ideal candidate will be dependable, possess a customer service mindset, and thrive as the 'face of the office'. Communication skills are essential, as the role involves significant interaction with both internal and external stakeholders. In this role, the Administrative Assistant will open and route incoming mail, answer correspondence, and prepare outgoing mail. They will process daily shipping through an online system and assist with meeting planning, document preparation, and the organization of meeting supplies. Additionally, the Administrative Assistant will maintain stock inventory of office and breakroom supplies, compose routine correspondence and emails, and perform routine copy and binding projects. The role also includes copying data, compiling records and reports, and assisting the Office Manager with special projects, as well as backing up the Receptionist and managing the distribution of mail. Inputting and retrieving data from various computer systems is also a key responsibility, along with other duties as assigned. Travel is expected to be negligible in this role.

Responsibilities

  • Open and route incoming mail, answer correspondence, and prepare outgoing mail.
  • Process daily shipping via an online system.
  • Assist with meeting planning, document preparation, shipping materials, meeting supplies, and other items as needed.
  • Prepare stock inventory of office/breakroom supplies.
  • Compose routine correspondence and e-mails.
  • Perform routine copy and binding projects.
  • Copy data and compile records and reports.
  • Assist Office Manager with special projects and back up the Receptionist and distribution of mail.
  • Input and retrieve data from various computer systems.
  • Perform other duties as assigned.

Requirements

  • High School Diploma or GED and related administrative work experience and/or training preferred.
  • Tech savvy; ability to navigate multiple systems including Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
  • Possesses diligence and attention to detail.
  • Must be able to frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 45 pounds.
  • Strong written and verbal communication skills.
