About the position

The Personal Office Assistant will support the executive team by managing schedules, handling correspondence, and assisting with various administrative duties. This role is crucial for ensuring the smooth operation of daily tasks and requires a proactive, organized, and detail-oriented individual who can maintain confidentiality and professionalism.

Responsibilities

  • Coordinate and manage the executive's schedule, appointments, and meetings.
  • Draft, proofread, and respond to emails, letters, and other forms of communication on behalf of the executive.
  • Organize and maintain files, documents, and records in both digital and physical formats.
  • Book flights, hotels, transportation, and prepare travel itineraries as needed.
  • Assist in preparing agendas, presentations, and reports for meetings; take notes and handle follow-ups.
  • Act as a point of contact between the executive, clients, team members, and external stakeholders.
  • Handle phone calls, mail, and deliveries, and manage office supplies.
  • Support the executive in special projects and ensure deadlines are met.
  • Perform personal and business-related errands as needed.
  • Assist in organizing company events, meetings, and offsite functions.
  • Maintain the confidentiality of sensitive information and uphold a high level of professionalism.

Requirements

  • Prior experience as a personal assistant, executive assistant, or administrative assistant preferred.
  • Excellent written and verbal communication skills.
  • Strong multitasking and time management skills with attention to detail.
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and familiarity with scheduling tools and document management systems.
  • Ability to anticipate needs, resolve issues quickly, and adapt to changing priorities.
  • Ability to represent the company in a professional manner with clients, vendors, and other business contacts.
  • Ability to handle confidential information with discretion.
  • High school diploma required; Associate's or Bachelor's degree preferred.
