About the position

The Gentleman's Travel Assistant & Butler will play a crucial role in providing unwavering support to the principal of a dynamic and fast-paced company, ensuring a flawless and comfortable travel experience across various locations including New York, Europe, and Asia. This position requires extensive travel and advanced logistical planning, as well as the ability to navigate language barriers and diverse foreign environments. The ideal candidate will execute all personal assistant duties with the highest level of discretion and efficiency, consistently enhancing the principal's experience. Candidates must be legally authorized to work in the USA and possess a USA passport; dual citizenship in Europe and the USA is a major plus. Proficiency in multiple languages, particularly Italian and French, is highly desirable and should be mentioned in the application.

Responsibilities

  • Accompany the principal on domestic and international trips, ensuring all travel needs are meticulously met.
  • Deliver luggage and personal belongings to destinations ahead of time, ensuring accommodations are prepared for the principal's arrival.
  • Coordinate and manage intricate travel logistics, including flight arrangements, ground transportation, and comprehensive itinerary planning.
  • Navigate language barriers and foreign environments to ensure seamless and efficient travel experiences.
  • Arrange and oversee all aspects of accommodations, including check-ins, room setups, and special requests, ensuring the principal's comfort and satisfaction.
  • Perform personal assistant tasks such as running errands, managing schedules, and handling communications while traveling.
  • Consistently meet the principal's preferences and requirements, anticipating needs and proactively addressing potential issues.
  • Liaise with local vendors, service providers, and hotel staff to ensure high service standards and seamless experiences.
  • Maintain strict confidentiality and discretion in all matters, handling sensitive information with the utmost care.
  • Coordinate with the Chief of Staff and other team members to ensure consistent and comprehensive support for the principal.

Requirements

  • Minimum of 5+ years of experience in a butler or personal assistant role, with substantial experience in international travel and logistics.
  • Extensive travel experience with a deep understanding of navigating foreign countries and managing language barriers.
  • Exceptional organizational and logistical skills, adept at managing complex travel arrangements and adapting to last-minute changes.
  • Strong interpersonal and communication skills, capable of effectively liaising with a wide array of external parties and vendors.
  • Discreet, trustworthy, and reliable, with the ability to handle confidential information and sensitive situations with care.
  • Highly adaptable and resourceful, able to anticipate and address needs proactively.
  • Fluency in multiple languages is highly desirable but not mandatory.
  • A proactive self-starter who consistently performs at a high level, capable of inspiring and managing various internal and external parties.

Nice-to-haves

  • Fluency in Italian and French is a major plus.
  • Possession of both USA and EU passports is highly sought after.
