The PGIM Private Alternatives business is seeking an Executive Sales Assistant who will support the Business Development team. This role is crucial in ensuring the smooth operation of the sales process and requires a candidate who thrives in a demanding work environment. The ideal candidate will have prior experience supporting senior executives and/or sales professionals and will be willing to take ownership of a multitude of tasks in providing support for a designated team or sales region. The position is based in New York, where the Executive Sales Assistant will work from the office four days a week, with the flexibility to work remotely one day a week. In this role, the Executive Sales Assistant will be responsible for creating organization and contact records, managing access for client reporting and communication preferences, and building out contact and organization profiles in Salesforce. This will involve utilizing various third-party data providers and performing data entry tasks. The assistant will also enter call notes and top opportunities for sales representatives, proactively updating records as necessary. Additionally, the role includes reviewing audit reports for assigned sales representatives and pulling client or fund manager profiles from databases such as Preqin and MMD. The Executive Sales Assistant will handle all meeting logistics for in-person, virtual, and hybrid meetings, including advanced meetings such as roadshows, property tours, education sessions, or due diligence meetings. This includes securing conference rooms, ensuring technology access, managing security, arranging food and beverage, building agendas, and obtaining necessary materials. The assistant will also be responsible for securing client meeting materials through technology tools like Seismic and Salesforce, managing the schedule and calendar for assigned sales representatives, and handling travel arrangements and reimbursements. Compliance approval and pre-approvals for client gifts, entertainment, travel, and related meeting expenses will also be part of the responsibilities.
