Responsibilities

  • Provide exceptional administrative support for lead executive and work closely with her on supporting the efforts and goals of the team.
  • Monitor requests and correspondence of a key executive. Keep a running list of priorities and execute with speed, efficiency, and a sense of urgency.
  • Manage complex, ever-changing executive calendars for key executive and members of the team as needed.
  • Ensure the executive is fully prepared for meetings, presentations, and speaking engagements by managing schedules, gathering necessary materials, and facilitating seamless communication between all stakeholders.
  • Act as a gatekeeper to prioritize how the executive's time is spent.
  • Book and manage frequent, complex travel arrangements, including flights, hotels, and itineraries, with flexibility for frequent changes.
  • Coordinate and arrange on and off-site meetings including, but not limited to, selecting the venue, contract negotiation, planning for food and beverage needs, and preparation of slides and materials including agendas.
  • Oversee executive email inbox, prioritizing, flagging, and responding to correspondence as necessary.
  • Compile information and create reports, using various software, including MS Office.
  • Prepare and submit detailed, weekly, and often complex expense reports.
  • Register Executives for conferences and maintain trade association memberships and subscriptions.
  • Learn and understand the business to help executive prioritize her daily, weekly and monthly objectives.
  • Manage confidential or high-stakes communication with discretion, ensuring secure and professional correspondence.

Requirements

  • 6+ years of experience as an Executive Assistant in a fast paced and demanding environment
  • A mastery of all Microsoft Office applications (Word, Excel, PowerPoint and Outlook).
  • A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity.
  • Discretion required in handling highly sensitive and confidential information in a respectful and confidential manner.
  • Ability to think creatively and be a problem solver, adaptable and results driven.
  • Ability to handle multiple tasks: excellent time management and organizational skills.
  • Strong work ethic, initiative and good judgment.
  • Excellent interpersonal and communication skills, both verbal and written.
  • High level of motivation and enthusiasm.
  • Problem solving and solid attention to detail.
  • Ability to work independently with minimal supervision, work under tight time constraints, and be able to prioritize work.
  • Ability to work well with and partner with other administrative and professional staff.
  • Flexibility to work overtime on an as needed basis is required.
  • Ability to travel, as needed.
