About the position

The Pharmacy Quality Analyst plays a crucial role in ensuring that all quality and regulatory goals and objectives are met within the pharmacy department. Under the direct supervision of the Director, this position is responsible for continuous quality improvement activities, which include hands-on management of pharmacy automation processes. The analyst will collaborate with the Pharmacy IT team to assist with upgrades and new installations, ensuring that the pharmacy operations are efficient and compliant with internal and external quality assurance processes. This role requires maintaining an adequate stock of medications and supplies, controlling the Pyxis inventory, and ensuring the integrity of the Pyxis machines. The analyst will also assist the Pharmacy Analyst with various projects and daily activities, which may require availability during irregular hours. In addition to routine monitoring of Pyxis machines for damage and maintenance issues, the Pharmacy Quality Analyst will direct the coordination and implementation of automation projects, oversee maintenance of all Pyxis-related issues, and serve as the administrator for various systems including Pyxis MedStation and Smart Temps Monitoring System. The analyst will ensure compliance with the Drug Supply Chain Security Act (DSCSA) and assist in rotating stock to prevent expiration. Responsibilities also include developing and implementing quality assurance measures related to Pyxis, maintaining policies and procedures, acting on medication recall notices, and coordinating yearly inventory with the inpatient area and Pharmacy Analyst. The analyst will perform monthly inspections of Pyxis machines, process Knowledge Portal reports, and configure inventory drawers in new cabinets. This position requires strong organizational skills, attention to detail, and the ability to work cooperatively with hospital and pharmacy staff.

Responsibilities

  • Routinely monitors Pyxis machines and inspects for damage and maintenance related issues.
  • Directs the hands-on coordination and implementation of automation projects (upgrades, new) and oversees maintenance of all Pyxis related issues.
  • Acts as Pyxis MedStation and CII Safe Administrator.
  • Serves as Smart Temps Monitoring System Administrator ensuring refrigerator/freezer temperature compliance for medications at the Main Campus and off-site locations.
  • Functions as TraceLink Administrator, ensuring compliance to the Drug Supply Chain Security Act requirements.
  • Assists in rotating stock to ensure use before expiration date.
  • Identifies and replaces outdated and unusable drugs.
  • Develops and implements quality assurance issues as related to Pyxis.
  • Maintains Policies and Procedures for Pyxis functions and operations in coordination with the Pharmacy Director.
  • Acts on medication recall notices and notifies supervisor as needed.
  • Coordinates yearly inventory with inpatient area, pyxis med stations, and Pharmacy Analyst.
  • Performs monthly inspections of Pyxis machines including outdates and controlled substances.
  • Processes Knowledge Portal reports and analyzes data, bringing questionable data to the attention of the Pharmacy Director.
  • Configures drawers and assigns inventory to new cabinets.
  • Places initial stock in cabinets and works with Materials Management as needed.
  • Helps deliver and connect equipment.
  • Assists Pyxis via phone to diagnose and correct related patient and order problems.
  • Visits nursing units to assist with cabinet malfunctions.
  • Accompanies Pyxis technicians and service personnel during service calls if available.
  • Informs Pharmacy Director of actions taken related to administrator duties listed above.
  • Coordinates EMR changes related to changes in Pyxis inventory items with the pharmacist clinical informatics.

Requirements

  • High School diploma or equivalent; college courses desirable but not required.
  • Current pharmacy technician certification required and licensed in the State of Ohio.
  • Five years pharmacy technician experience required; leadership and quality activities preferred.
  • Demonstrated ability to organize work and work under minimal supervision.
  • Ability to be mobile and perform work accurately with attention to detail.
  • Ability to work within specified timeframes and achieve project deadlines.
  • Ability to work cooperatively with hospital and pharmacy staff; strong leadership qualities.
  • Working knowledge of computer programs; ability to handle frequent interruptions and adapt to changes in workload and work schedule.

Nice-to-haves
