About the position

The Administrative Assistant II position at the AXIS/Danforth Campus is responsible for providing comprehensive administrative and clerical support to the AXIS Director and various stakeholders. The role emphasizes effective customer service and efficient operations, ensuring that clients, residents, and partners receive timely assistance and information. The position requires a commitment to the organization's mission and values, fostering a collaborative environment while managing diverse administrative tasks.

Responsibilities

  • Assists AXIS Director and clients with equipment, communications, and administrative duties.
  • Provides general administrative support including answering phones and responding to inquiries.
  • Records and maintains accurate financial transactions for billable services.
  • Updates and maintains files, databases, and confidential records.
  • Assists with purchasing tasks including researching resources and processing invoices.
  • Helps plan and organize Incubator-sponsored events and meetings.
  • Reports and transmits training and consulting hours and rosters.
  • Communicates effectively regarding AXIS FT operations to various stakeholders.
  • Shares information with team members to enhance departmental effectiveness.
  • Interacts with colleagues to achieve organizational goals.
  • Provides support for the Danforth Campus receptionist and co-workers as needed.
  • Attends team meetings and maintains a professional appearance.
  • Works with confidential information and performs other job-related duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • At least two years of related work experience required.
  • Proficient in Windows, Microsoft Word, and Excel; Adobe CC experience preferred.
  • Excellent keyboarding, proofreading, and data entry skills.
  • Strong interpersonal, organizational, and problem-solving skills required.
  • Exceptional verbal and written communication skills.
  • Ability to manage a heavy workload and meet deadlines.
  • Self-motivated with the ability to work independently and in a team setting.

Nice-to-haves

  • Experience in a customer service role.
  • Familiarity with financial transaction processing.
