As a Project Coordinator, you will be responsible for coordinating various plumbing projects to achieve revenue goals while maintaining and developing strong client relationships through quality service. This role requires a proactive approach, acting as a liaison between Project Managers, clients, subcontractors, and colleagues, ensuring that all parties are aligned and informed throughout the project lifecycle. In this position, you will review contract documents to clarify the scope of work and resolve any discrepancies that may arise. You will track the progress of assigned jobs to ensure adherence to plans, specifications, and installation schedules, aiming for timely completion of work. Additionally, you will draft and verify submittals, manage project documents, and schedule important dates for site walkthroughs, installations, and decommissioning. Collecting payments from clients and verifying approvals for financing will also be part of your responsibilities, along with scheduling necessary permit inspections and preparing submittals, closeouts, and purchase orders. The work hours are Monday to Friday, from 7:30 AM to 4:00 PM, providing a stable work schedule. Responsibilities

  • Review contract documents, clarify the scope, and resolve discrepancies.
  • Track progress of assigned jobs to ensure adherence to plans, specifications, and installation schedules.
  • Draft and verify submittals.
  • Review and manage project documents.
  • Schedule dates for site walkthroughs, installations, and decommissioning.
  • Collect payments from clients.
  • Verify approvals for client financing and schedule document signings.
  • Identify and secure required permits, licenses, and procedures prior to commencement of work.
  • Schedule permit inspections.
  • Prepare submittals, closeouts, and purchase orders.

Requirements

  • Must pass pre-employment background screens.
  • 2+ years in project coordination or administrative setting.
  • Excellent communication skills, friendly personality, and great client service skills.
  • Capable of making quick, thoughtful decisions and staying organized.
  • Ability to work in an environment with interruptions and interact with diverse situations and people.
  • A self-starter able to prioritize needs with confidence based on the deadlines and activities within their scope of work.
  • Advanced computer skills (proficiency with MS Word, Outlook & Excel).
  • Experience in plumbing, HVAC or construction trade is a plus.

Nice-to-haves

  • Experience with Bluebeam, Procore & QuickBooks is a plus.
