About the position

The PMO Operations Coordinator plays a crucial role in supporting the Vice President of the Project Management Office (PMO) at Vaya Health. This remote position is designed for individuals residing in NC, SC, GA, TN, VA, MD, or FL, and operates within the hours of 8:30 am to 5:00 pm EST. The coordinator will be responsible for operationalizing PMO policies and procedures while providing essential administrative support to the VP of PMO. This role is pivotal in ensuring the success of the strategic vision of the organization, particularly within the Information Services Division (ISD) and the PMO. In this capacity, the PMO Operations Coordinator will manage the daily activities and projects that encompass the PMO and enterprise-wide initiatives. The position requires a strong focus on administrative support coordination, project management, and effective communication. The coordinator will manage the VP of PMO's calendar, prioritize meeting requests, and support PMO department meetings by developing presentations and materials. Additionally, the coordinator will assist in identifying and resolving administrative issues, track action items, and compile reporting metrics for PMO-related discussions. The role also involves facilitating and managing the PMO document and artifact library, ensuring compliance with PMO templates, and promoting best practices for consistent project execution across the organization. The PMO Operations Coordinator will compile information for standard reporting metrics and create presentations for both internal and external stakeholders, acting as the point of contact for PMO communications. This position requires a proactive approach to support the VP of PMO and the overall success of the PMO initiatives.

Responsibilities

  • Manage the VP of PMO and PMO department calendars, including scheduling and prioritizing meeting requests.
  • Provide support for PMO department meetings, including the development of presentations and supporting materials.
  • Assist the VP of PMO in identifying, tracking, and resolving administrative/high-level issues.
  • Provide primary administrative support for PMO-related meetings, including tracking action items and deliverables.
  • Coordinate onboarding training for departmental PMO staff.
  • Compile reporting metrics and information for PMO-related meetings and discussions.
  • Facilitate and manage the PMO document and artifact library, ensuring compliance and updates of PMO templates.
  • Promote best practices for consistent project execution across the organization.
  • Assist in resource management oversight to optimize staff and manage organizational requests.
  • Compile information for standard reporting metrics for PMO and portfolio projects.
  • Create presentations and project reporting information for internal and external stakeholders.
  • Act as the point of contact for PMO communications, ensuring alignment with approved policies and procedures.

Requirements

  • High School diploma or GED is required.
  • Bachelor's degree in Business Administration, Information Systems, Management Information Systems, Project Management, or Healthcare Administration is preferred.
  • 3-5 years of executive support or project management coordination/support experience is required.
  • Thorough knowledge of office and business practices necessary for daily responsibilities.
  • Familiarity with project management tools and methodologies is essential.
  • Strong analytical skills and attention to detail are required.
  • Proven experience in project coordination or operations management is necessary.
  • Excellent communication (written and oral) and collaboration abilities are essential.
  • Ability to assemble information in a concise, clear, and effective manner is required.
  • Proficient in typing and excellent computer skills (MS-Excel, MS-Access, MS-Word, MS-PowerPoint) are necessary.
  • Experience with project management software such as SmartSheet or MS Project is preferred.
