About the position

The PNT Operations Coordinator at LifeStance Health is responsible for coordinating all operational aspects of Psychological & Neuropsychological Testing (PNT) prior to patient tests. This includes scheduling appointments, managing paperwork, and serving as the primary logistical contact for patients. The role is crucial in ensuring a smooth process for patients undergoing testing, providing them with necessary information and support throughout their experience.

Responsibilities

  • Create patient profile in EHR, match with PNT clinician, and schedule PNT Initial Appointments (IAs) with PNT clinician.
  • Schedule testing appointments and explain details of testing to patients, including length of test, expected time in the office, overall process, and cost estimate.
  • Serve as liaison between billing team and patient to facilitate discussions regarding billing and out-of-pocket costs, and between CBO and clinician regarding insurance authorizations.
  • Confirm appointments with patients via phone within one week prior to testing appointment, including confirming receipt of the Financial Agreement and Consent for Testing Services (FACTS).
  • Ensure that the patient receives and signs the Financial Agreement and Consent for Testing Services (FACTS).
  • Check whether paperwork has been completed prior to patients' appointments and connect with patients if they have not completed their paperwork.
  • Assist patients with the portal process and/or telehealth platform, if needed.
  • Reach out to patients ahead of their first appointment if there is a benefit coverage concern.
  • Serve as point of contact for patients who need to cancel or reschedule their PNT appointments.
  • Reschedule testing appointments and follow-up appointments as needed.

Requirements

  • High School Diploma or equivalent; Associate's degree preferred.
  • 2 years of customer service care experience; experience in healthcare is highly preferred.
  • Prior knowledge of OSHA/HIPAA regulations would be advantageous.
  • Ability to multitask.
  • Ability to work independently and as a team member.
  • Strong communication skills, both written and verbal.
