About the position

The Retail Operations/Scheduling Coordinator is responsible for a variety of substantive retail functions that involve workforce management programs, information system research troubleshooting, and the preparation of financial data for trend analysis and account reconciliation. This role requires the use of various software programs to effectively manage and analyze data related to retail operations. The coordinator will work closely with the Workforce Scheduler and Management to organize and prepare work schedules for employees using an automated workforce management system. This includes ensuring that the appropriate amount of staff is available for each work shift and addressing any discrepancies with the relevant personnel. In addition to scheduling, the coordinator will compile Monthly Comparative Retail Reports, comparing current data with previous years to compute percentage increases or decreases by department for management use. They will also prepare weekly markdown summary reports, compile daily cash over short reports by register location, and notify managers of any discrepancies to facilitate timely corrective actions. The role involves maintaining payroll records, processing associate availability and leave, and ensuring that stock control records are kept current. The coordinator will also be responsible for producing various reports and correspondence related to retail operations, and may direct the activities of subordinate administrative personnel by making assignments and providing training. The position requires a proactive approach to maintaining adequate stock levels, entering data into the computer system, and ensuring compliance with established procedures. The coordinator will work under the general supervision of a designated supervisor, carrying out assigned duties independently while referring unusual or difficult problems to the supervisor for guidance. Overall, this role is crucial for the smooth operation of retail functions and requires a detail-oriented individual with strong organizational skills.

Responsibilities

  • Organizes and prepares work schedules for employees using an automated workforce management system.
  • Ensures appropriate staffing levels for each work shift and addresses discrepancies with management.
  • Processes and inputs associate availability and leave through the automated system.
  • Prints schedules and runs various reports for management review as directed.
  • Compiles Monthly Comparative Retail Reports comparing current data with previous years' data.
  • Prepares weekly markdown summary reports indicating actual percent of markdown to planned markdowns.
  • Compiles daily cash over short reports by register location and notifies managers of discrepancies.
  • Prepares special and periodic reports related to retail operations.
  • Forecasts department payroll on a bi-weekly basis for all locations.
  • Maintains associates' payroll records, including pay changes and planned vacations.
  • Maintains a current price list of items and verifies balances with program data.
  • Compiles periodic and special reports based on maintained records and data collected.
  • Maintains stock control records for the retail department and ensures adequate stock levels.
  • Produces correspondence and reports pertaining to retail operations.
  • May direct activities of subordinate personnel, including training and performance reviews.

Requirements

  • 1 year of experience in administrative retail sales or related work to understand merchandising techniques and store operations.
  • 1 year of progressively responsible experience performing clerical or administrative support duties in a related area.
  • Substitution of education for experience: 1-2 years of related academic study above high school level may substitute for experience, up to a maximum of a 4-year bachelor's degree.
