About the position

The IT Contracts and Procurement Administrator at CB&I is responsible for managing IT contracts, overseeing procurement processes, and conducting cost analysis for IT operations. This role acts as a liaison between the IT department and legal teams, ensuring compliance with contractual obligations while optimizing IT budgets and decision-making processes. The position requires collaboration with various stakeholders to ensure smooth implementation of IT projects and effective vendor management.

Responsibilities

  • Develop and draft IT contracts with vendors, including service level agreements and software licensing agreements.
  • Analyze proposed contracts from vendors, identify potential risks, and negotiate terms to protect company interests.
  • Utilize contract management software to maintain comprehensive contract records and monitor contract performance.
  • Establish relationships with vendors, manage communication, and address any contractual issues that may arise.
  • Review and approve change orders to existing contracts, ensuring proper documentation and financial implications are considered.
  • Facilitate resolution of contractual disputes with vendors by collaborating with legal teams and internal stakeholders.
  • Identify potential risks associated with IT contracts and implement mitigation strategies.
  • Generate regular reports on contract status, key performance indicators, and potential cost savings opportunities.
  • Collaborate with IT project managers, procurement teams, legal counsel, and business stakeholders to ensure alignment with project objectives.
  • Gather IT requirements by collaborating with IT users and stakeholders to identify technology needs.
  • Research and evaluate potential IT vendors, negotiating pricing and contract terms.
  • Generate and process purchase orders for IT equipment and services, ensuring accurate specifications and delivery timelines.
  • Maintain and monitor IT vendor contracts, ensuring compliance with terms and conditions.
  • Track and analyze IT procurement spending to identify cost-saving opportunities.
  • Maintain accurate records of IT assets, including tracking usage and lifecycle.
  • Ensure adherence to company procurement policies and legal regulations.
  • Build and maintain strong relationships with key IT vendors.
  • Monitor and analyze IT expenses across different categories and identify variances between budgeted costs and actual spending.
  • Collaborate with IT leadership to develop and maintain accurate IT budgets and prepare detailed budget forecasts.
  • Generate regular reports highlighting key IT cost metrics and visualize data through dashboards.
  • Identify potential cost reduction opportunities through vendor negotiations and contract optimization.

Requirements

  • Bachelor's degree in Business Administration, Law, or a related field.
  • Relevant experience in IT contract management, procurement management, and/or cost management, preferably within a corporate environment.
  • Familiarity with contract management software and procurement software.
  • Proficiency in data analysis, financial modeling, and interpreting complex data sets.
  • Understanding of accounting principles, budgeting, and cost management practices.
  • Familiarity with IT infrastructure, systems, and common IT terminology.
